How to respond to Google reviews?

Isaac Donnelson, Co-founder, Chief Marketing Officer

Reply to every Google review in public, within a week, in plain language. Thank the customer who named the work. For a fair complaint, own the miss and say how you will fix it. Do not argue the star. Do not drag a private fight onto the listing. The next stranger is reading how your shop behaves when it is easy and when it is ugly. That is how you respond to Google reviews.

Why should you reply to Google reviews?

You should reply because the next stranger reads the reply before they call. A listing with reviews and silence looks empty. A listing with calm owner notes looks watched.

This is not the same job as asking for Google reviews. Asking fills the wall. Replying shows how you behave when the wall is public. Both live on your Google Business Profile.

How do you reply to a good Google review?

You reply with thanks, their name when it is public, and a short nod to the work they named. Two sentences. No coupon. No script that could sit on any clinic in the county.

"Glad the Thursday install went smooth, and thanks for saying the crew left the basement clean." That is a receipt. "Thanks for the 5 stars!!!" is noise. Match their tone. A roofing crew does not need spa language.

How do you reply to a bad Google review?

You reply in public like an adult, then move the fix offline. Thank them for writing it. If the miss was yours, say so. Offer a phone or email to finish the job. Do not argue the star. Do not dump the whole invoice history into the listing.

A fair complaint with a grown-up reply often helps more than another vague five-star line. If the note is spam or about a different shop, flag it in Google's tools and wait. Patience is part of owning a public door.

How fast should you respond?

Respond within a week. A few days is better when the review is fresh. Same-day is kindness when someone is still angry in the driveway.

Put a recurring check on the calendar if you run the shop alone. Speed beats wordsmithing. A short reply that lands Tuesday beats a perfect paragraph that lands in October.

What should you never do in a public reply?

Never argue the star, insult the customer, invent a fake positive review to bury them, or paste a legal threat onto the listing. Never write a reply you would not say face to face at the counter.

Do not gate unhappy people to a private form and happy people to Google. That is a lie with a login. Do not promise a map-pack boost for reply rate. We will not invent one.

How do you know the replies are working?

Replies are working when a stranger can tell you pay attention, and some callers mention the listing when they book. Ask how they found you. Listen for "I saw how you answered that review."

A count of replies is not the job. Tone is. Recency is. Keep hours and category honest while you do this. Who we are is on About. We will not invent a review score we did not earn.

How to respond to a Google review

One calm public reply beats a week of private arguing.

  1. Open the review on your Google Business Profile the same week it lands.
  2. Thank them for the note. Name the job or the town if they did.
  3. If the complaint is fair, own the miss and invite them to finish it offline.
  4. Keep the tone adult. No sarcasm, no star debate, no blame dump.
  5. Save the reply, then do the fix you promised.

Questions people ask

How do you respond to Google reviews?

You respond to Google reviews by writing a short public reply on the listing within a week. Thank a positive note for the specific work. For a complaint that is yours to fix, own it and say how you will make it right, then move the phone number or invoice offline. Do not argue the star rating. Do not copy a template that could belong to any shop in town. The reply sits next to the review forever, so write it like a stranger will read it before they call.

Should you reply to every Google review?

Yes. Reply to every Google review you can still answer, good or bad. A wall of five-star notes with zero owner replies looks abandoned. A single unanswered complaint looks like you hid. You do not need a paragraph for every thank-you. Two honest sentences beat a marketing speech. If Google has closed the reply window on an old review, leave it and stay current on new ones.

How should you reply to a positive Google review?

Reply to a positive Google review with thanks, the customer's first name when it is public, and a nod to the job they named. "Glad the Thursday install went smooth. Thanks for saying so." That is enough. Do not paste a coupon. Do not beg for a share. Do not write a brochure. A specific thank-you tells the next reader the work was real and the shop pays attention.

How should you reply to a negative Google review?

Reply to a negative Google review in public like an adult. Thank them for saying it. If the job was yours, say you will fix it and give a way to reach you that is not a fight in the comments. Do not call them a liar. Do not list every excuse. The next stranger is grading your calm more than your defense. If the review is spam or about a different business, flag it in Google's tools instead of writing a novel.

How fast should you respond to a Google review?

Respond within a week, ideally in a few days. Same-day is kind when the note is hot. Waiting a month tells the reviewer, and everyone else, that the listing is not watched. Put a weekly reminder on the calendar if you are a one-person shop. Speed matters more than polish. A short honest reply beats a delayed essay.

Can you delete a Google review you do not like?

You cannot delete a true complaint because it stung. You can flag spam, fake accounts, or reviews clearly about another business through Google's tools, then wait. Trying to bury a fair note with fake praise, lawyer threats, or sockpuppet accounts is how listings get suspended. If it is about your work, answer it. Asking for more reviews is a separate habit covered in how to get Google reviews, not a way to drown one bad week.
